Communication Template

Overview


This guide explains how to configure Communication Templates in SmartRecruiters using CodeBot. It provides step-by-step instructions to help administrators create and manage communication templates used for candidate and recruiter communications throughout the recruitment process.



  1. Navigate to CodeBot for SAP SuccessFactors, and enter your login details.


  1. From the Home screen, navigate to Module Access Panel → Talent & Learning → SmartRecruiters.



  1. Select your workspace from the next screen.



  1. Navigate to the generated workbook by clicking the Sheet icon.



  1. The workbook will appear in a new tab on your browser. Select the Communication Template worksheet.


  1. Communication Template Columns:
  • Column B – Processing Status: Set to Pending for the new record.
  • Column C – Processing Template Name: Enter the template name.
  • Column D – Template Name: Enter the display name.
  • Column E – Type: Select the template type.
  • Column F – Apply to all org fields: Set to TRUE or FALSE.
  • Column G – Communication Method – Email: Set to TRUE or FALSE.
  • Column H – Email Subject: Enter the email subject.
  • Column I – Email Body: Enter the email content.
  • Column J – Messaging: Set to TRUE or FALSE.
  • Column K – Messaging Body: Enter the messaging content.




  1. Close the workbook and return to SFCodeBot, then click the hamburger icon under the Actions tab for the same iteration number, and select Start Configuration.



  1. On the left-hand side, enter your SAP SuccessFactors password or sign in using SSO (if it is configured for your instance). Next, enter the Execution Notes. On the right-hand side, under Advanced Options, select the Communication Template checkbox and finally, click Confirm and Start to begin the execution.



  1. As the status changes to processing you can monitor the execution. Below is the article attached for iteration monitoring.

  1. Once the status shows complete, go back in the workbook, and observe that Communication Template has been added successfully as the rows and their corresponding fields are now highlighted green. Meanwhile, the processing statuses have also turned to processed.



  1. You can also verify these changes by logging in to your SmartRecruiters instance and confirming that the newly added communication template appears in the Communication Templates list with the configured template name, type, communication method, and content.
