Scheduling Workbook Generation in Codebot

Overview

Codebot provides a Workbook Scheduling feature that allows users to automatically generate workbooks at predefined intervals. Using this feature, workbooks can be queued and generated weekly or monthly, reducing manual effort and ensuring timely workbook creation. This feature is only available for Company Admins.


Use Case

This feature is ideal for users who:

  • Need recurring workbook generation
  • Want to automate weekly or monthly workbook creation
  • Prefer hands-off scheduling instead of manual execution


How to Schedule Workbook Generation

Follow the steps below to create a new workbook schedule:


Step 1: Navigate to Job Scheduling

  1. Log in to the Codebot Dashboard.
  2. Hover over the left-hand menu.
  3. Navigate to Others and expand it.
  4. Click on Manage Job Schedule.




Step 2: Add a New Schedule

  1. Click on Add New Schedule.
  2. A scheduling form will appear.




Step 3: Fill in the Schedule Details

Complete the form with the following information:

  • Company Instance

Select your company instance.

    • If an instance is already added, related fields will be auto-populated.
  • Iteration Number

Enter the required iteration number.

  • Workspace
    • Select an existing workspace, or
    • Create a new workspace directly from this form.
    • NOTE: We strongly recommend isolating the Scheduled Workspaces from the standard-manual workspaces. This way it'll be much clearer what workbooks were generated by the scheduler. Best Practice is to name this Workspace "[Instance Name] Monthly Workbooks."
  • Module

Choose the appropriate module from the Module dropdown. This is a multi-select window. If you are running more than one schedule in the same instance, generally, it is best to select multiple modules within one job.

  • Job Name

Enter a meaningful name for the scheduled job.




Step 4: Configure Recurrence and Action

  • Recurring Type

Select how often the job should run:

    • Weekly
    • Monthly
  • Action

From the Actions dropdown, select Generate Workbook.


Step 5: Submit the Schedule

  • Review all the entered details.
  • Click Submit Form to finalize and activate the schedule.
