# Audit Reports with Codebot for SAP SuccessFactors

### Overview

In SAP SuccessFactors, Audit Reports, commonly referred to as **Change Audit Reports** are used to monitor and track updates made by users or administrators. These reports capture:

* **Who** made the change
* **What** was changed
* **When** the change occurred
* **How** it was executed

They play a critical role in maintaining data integrity, ensuring compliance, and supporting internal or external audits.
However, configuring and generating these reports manually can be time-consuming and complex.

### How to Generate Audit Reports Using Codebot?

Step 1: Access the Audit Report Module

1. Navigate to the **Codebot Dashboard**
2. Click on the **Audit Report** module tile
3. Create a **New Iteration**

The generated workbook initially contains **two sheets**:

* **Workflow Groups (Reverse-Only Sheet)**
* **Configurations Report**

### Understanding the Sheets:

1. **Workflow Groups (Reverse-Only Sheet)**

This sheet automatically fetches configuration data from your SuccessFactors instance, specifically the **Workflow Group Membership data**.

**What is a Workflow Group?**

A **Workflow Group** is a predefined collection of users used as an approval step in a workflow configuration. Instead of assigning individual approvers, organizations assign a group.

**What Does Membership Data Indicate?**

Membership data defines \*\*who belongs to that workflow group, \*\*essentially identifying the actual users authorized to approve transactions.

2. **Configurations Report Sheet**

This sheet defines the details for the audit reports that need to be generated.
You must specify the configuration parameters so Codebot can process and generate the relevant reports.

**Required Fields:**

* **Column C:** Select the Configuration from the dropdown
* **Column D:** Specify the Sheet Name
* **Columns E & F:** Define the Time Range

**Note:** If no time range is specified, Codebot automatically considers **one month of historical data**.

* **Column G:** Enter the Report Type Name
* Example: *RBP Static Group Membership Change Report*
You can also specify additional required data fields depending on the selected report type.

### Step 2: Trigger Processing

1. In **Column B**, set the processing status to **Pending**

1. Save and close the workbook
2. Return to Codebot
3. From the hamburger menu, click **Start Configuration** and run the action.

Codebot will now:

* Validate configurations
* Fetch relevant audit data from SuccessFactors
* Generate separate report sheets automatically

### Step 3: Review Generated Reports

Once execution is complete:

* Reopen the workbook
* You will see newly created sheets containing:
* The configured audit reports
* Corresponding configuration details

**Important:** CodeBot fetches data only if configuration changes exist within the specified time frame.
